The Challenge

My client, a retail store owner, was drowning in an unfiltered inbox with 1,800+ emails - everything from vendor promotions to invoices, team communications, and peer networking. With no labels, filters, or system in place, her inbox became a source of constant overwhelm.

  • Archived all emails older than 3 months

  • Audited the latest week of emails, assessing senders, subjects, and purpose

  • Reviewed with client how she receives, processes, and acts on emails

  • Identified categories, mental blockers, and decision-making habits

Phase 2: System Build-Out

  • Created automated filters for high-volume email types. Here are some examples:

    • Invoices → all invoices from vendors are auto-labeled “Invoice,” auto-forwarded to the person responsible, then auto-archived, a fully automated system that works well for their current usage

    • Receipts → auto-labeled “Receipts” for record keeping

    • POs & Order Confirmations → auto-labeled “Orders”

    • Business Groups → auto-labeled by group name for all emails that come in

    • Promotions → filters to “Promotions” tab, separate from inbox to limit distractions

    • Newsletters & Articles → auto-labeled “Read Later” and auto-archived for time blocked reading to limit distractions

  • Created actionable inbox labels:

    • 🔵 To Do Today

    • 🟢 To Do This Week

    • 🟡 Waiting On

    • 🟣 Delegated (with team member specific sub-labels to keep track of what is delegated)

The Strategy Behind It

The goal wasn’t “Inbox Zero” - it was Inbox Awareness. We focused on:

  • Making the inbox more of a productivity tool

  • Labels allowing her to mentally triage emails at a glance

  • Separating distractions from priorities

  • Reducing emotional load by creating clean daily starting points

  • Encouraging daily closure and minimal carryover
